Our Mission

The Health Records and Information Department is dedicated to the accurate creation, maintenance, storage, and protection of patient health records. We ensure seamless management of patient information while delivering efficient services to clients and healthcare providers.

Department Overview

Our department operates through four specialized sections to provide comprehensive record-keeping and data management:

Sections

  • Cancer Registry: Managed by a certified Cancer Registrar.

  • Maternity Section: Handles maternity records with precision.

  • Statistics Section: Focuses on data analysis and reporting.

  • Main Library: A resource hub for health records and information.

Leadership & Team

The department is led by Faith Kimotho, Health Records and Information Manager, and supported by a team of 10 licensed Health Records and Information Officers accredited by the Health Records and Information Board. Together, we ensure the highest standards of data integrity and patient confidentiality.

Core Functions

  • Health Records Management

    • Registration: Capturing patient identification and social details for all attendances.
    • Filing: Systematic organization of documents for easy retrieval.
    • Tracing: Tracking document movements to maintain a unified record system.
    • Admission: Facilitating smooth hospitalization procedures.
    • Clinic Coordination: Managing appointments and clinic preparations.
    • Special Records: Handling unique health records with tailored processes.
    • Confidentiality: Strict adherence to privacy and security protocols.
  • Medical Coding

    • Accurate coding of diseases and medical procedures using:
    • International Classification of Diseases (ICD)
    • International Classification of Procedures in Medicine (ICPM)
  • Data Collection & Analysis

    • Collecting, tabulating, and interpreting health data.
    • Compiling statistics and reports for upload to the Kenya Health Information System (KHIS).
  • Legal Compliance

    • Records Retention & Disposal: Following national regulations.
    • Access Control: Secure management of record access.
    • Data Protection: Compliance with the Data Protection Act (2019).
